Building Your Reunion Profile
- If possible, the number of people attending (adults/children)
- Some history of past reunions such as:
- What cities you've been to
- Average number of family members who attend
- Types of activities
- Type of space you wish to hold events (hotel, park, etc.)
- Preferred dates you need the space & an alternative date
- Price ranges for meeting space & hotel guest rooms
- Number of sleeping rooms you will need at hotels
- For family reunions - number of family units who use the same room & need roll-away beds
- Will your attendees pay for rooms as a group, or each make separate reservations?
- Do you need a separate hospitality room or registration space at the hotel?
- How many meals do you need?
- For banquets: How many people do you need to seat? How much would you like to spend per person? Do you need audio-visual equipment?
- Will you need transportation, such as a shuttle bus, at any time during the event?
Tips for Working with Hotels & Other Facilities
- Start planning at least one year in advance in order to reserve the space you need. Hotels are often booked 2 years or more ahead.
- Remember, late September through March is off-season for most hotels. Room rates may be lower but outdoor attractions & activities may be closed.
- You can typically get a block of rooms reserved at a hotel for 10 or more sleeping rooms.
- Ask your hotel:
- Do they offer a complimentary room per a certain number of reserved sleeping rooms?
- Do they require room deposits? Deposits for food or other?
- What services do they offer?
- What is the deadline to make reservations before a block is dropped? (Usually 3 weeks prior to event)
- If some members decide to come in prior or stay longer, will their rate remain the same?
Tips for Holding a Reunion in Fond du Lac
- Contact the Convention & Visitors Bureau when you begin planning!
- Don't plan during the annual EAA show! Last week in July & first few days in August. * Ask about group rates - Many attractions in Fond du Lac & the surrounding area offer group rates or special hours for 10 or more people. Ask the attraction or the Convention & Visitors Bureau for details.
- Remember to confirm all reservations, payments, activities and other details one or two weeks prior to the event.
- The Convention & Visitors Bureau does not offer free trinkets or other items for goodie bag items. We can give you general suggestions for gathering goodie bag donations in the city.
